Return Policy

Summary
You can return most items within 30 days of delivery for a refund, subject to the conditions below. This policy should be read together with our Terms & Conditions, Warranty Policy and Shipping Policy. Your statutory rights under the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013 are not affected.

1. Eligibility window

  • Change of mind: Return within 30 days of delivery (unused, in original condition).
  • Cooling-off (online orders): You may cancel within 14 days of receipt and then have a further 14 days to send the goods back.
  • Faulty/DOA items: Contact us promptly; we will repair, replace or refund in line with UK consumer law.

2. Condition of returns

  • Items must be unused, in original packaging, with all accessories, manuals and any free/promotional items.
  • Package items securely; include any protective inserts and retail boxes.
  • We may make a reasonable deduction for missing parts, damage or excessive handling beyond what is necessary to inspect the goods.
  • For bundles, kits or multi-buy offers, all components must be returned together.

3. Non-returnable items

  • Cut-to-length items, consumables opened/used (e.g., oils, abrasives), or items that cannot be returned for hygiene/safety reasons once unsealed.
  • Customised/special-order products.
  • Items that have been misused, modified or show signs of improper installation.

4. How to start a return (RMA)

  • Order number, item(s) and reason for return;
  • Photos/video if the item is damaged or faulty;
  • Your preferred resolution (refund, replacement, repair).
We will issue an RMA number and instructions. Please do not send items back without an RMA.

5. Return shipping & costs

  • Change of mind: Return postage is your responsibility. We recommend a tracked and insured service.
  • Faulty/incorrect items: We will cover reasonable return costs or provide a prepaid label.
  • Refused/undeliverable parcels: Outbound and return transport fees may be deducted from the refund unless we are at fault.

6. Inspection & refunds

  • On receipt, we’ll inspect your return within 3–5 business days.
  • Approved refunds are issued to the original payment method within up to 14 days of receiving the goods.
  • Where a deduction for diminished value applies, we will notify you with details before processing the refund.

7. Exchanges & replacements

  • For a like-for-like replacement, we’ll dispatch once your return is scanned in transit (or received, depending on the case).
  • If the requested replacement is unavailable, we will offer an alternative or a refund.

8. Faulty, damaged or wrong item received

  • Report faults, transit damage or shortages within 48 hours of delivery.
  • Keep packaging for carrier inspection if damage is visible.
  • We may troubleshoot to confirm the fault and then arrange repair, replacement or refund.

9. International returns

  • Mark parcels clearly as “Returned Goods” and include the RMA number to avoid import fees.
  • Customs duties/taxes paid initially are usually non-refundable. You may claim directly from your customs authority where permitted.

10. Business (B2B) returns

  • B2B orders are governed by our Terms & Conditions.
  • At our discretion, unopened goods returned within 14 days may be subject to a restocking fee to cover handling/inspection where not faulty.

12. Late or missing refunds

  • Allow bank processing time after we confirm your refund.
  • Then contact your card issuer. If you still need help, email info@grovegear.co.uk.
